As the Office Assistant for Swamp Head Brewery (SHB) you will work with and report to the
GM and Owner/Operator. They will be required and expected to manage and perform the
following tasks:
Administrative Duties:
Welcomes visitors by greeting them warmly and answering or referring inquiries with an
exceptional level of customer service. Act as a barrier between visitors and staff, keeping
solicitation to a minimum
Answer, screen and forward any incoming phone calls appropriately with an exceptional
level of customer service
Coordinate mail flow in and out of office, including creating shipping labels and
following the correct PO system protocols
Maintain a safe and clean reception/break room area
Perform other clerical duties such as filing, photocopying, collating, faxing etc.
Manage employee files by collecting new hire paperwork and adding any new forms or
documentation to existing employee files
Track all OSHA reporting and workers comp issues
Track PTO for team members who are eligible
Ensure that new employees receive proper paperwork and know onboarding procedure
Keep an updated list of current employees and their contact information
Office Assistant Duties:
Forwards information by receiving and distributing communications; collecting and
mailing correspondence; copying information.
Maintains supplies by checking stock to determine inventory levels, anticipating
requirements, placing and expediting orders, verifying receipts, stocking items, and
delivering supplies to work stations
Maintains office equipment by completing preventative maintenance, troubleshooting
failures, calling for repairs, and monitoring office equipment operations.
Serves customers by acting as a receptionist, answering questions, forwarding messages,
confirming customer orders, and keeping customers informed of order status
Updates job knowledge by participating in educational opportunities
Enhance organizations reputation by accepting ownership for accomplishing new and
different requests and exploring opportunities to add value to job accomplishments.
Inputs company receipts/expenses into QB from all departments
Input all daily sales into QB
Run payroll reports for Owner/Operator
Manage [email protected] and [email protected] and address or redirect
specific emails to appropriate departments
Add bills to QB and print them for approval every Thursday (help manage A/P)
Reconciles and troubleshoots all banking and CC transactions
Know how to run all reports in POS system along with preparing gift cards and checking
out guest
Prepares all online orders and inputting into QB along with monthly batching
Prepares all invoicing for distributors and reviews sales payments
Input beer transfers from production to tasting room into QB
Maintains events and data reporting spreadsheet
Abilities and Skills:
Minimum two years customer service oriented experience
Excellent written and oral communication skills
Able to effectively manage time
Must be able to work independently and as a team
Must be responsible and dependable
Must be at least 21 years of age
Proficient in Microsoft Suite Office
Familiar with basic bookkeeping and QuickBooks
